LimeHubhr is the Data Controller for any personal data that you supply to us as part of the services you are contracted to receive from us.  As our client, you are our data subject.

6. Data Retention

We keep data only as long as necessary:

  • Enquiries: up to 24 months after last contact.
  • Client HR case files: 6 years after project completion.
  • Financial records: 6 years plus the current financial year (to meet HMRC requirements).

 

After this period, data is securely deleted or anonymised.

7. AI Systems & Automated Decision-Making

When we use AI systems in HR-related processes, we:

  • Identify whether they are high-risk AI systems under the EU AI Act (e.g., recruitment screening tools)
  • Conduct data protection impact assessments (DPIAs) under the UK GDPR
  • Maintain human oversight for any decisions affecting individuals’ rights or opportunities
  • Provide clear information to affected individuals that AI is being used and how it may impact them
  • Offer a right to contest any AI-assisted decision and request human review
